Guidelines for Position Posting

Please ensure the Guidelines for Position Posting have been reviewed prior to the Job Opening Request (JOR) step. When initiating a JOR, the initiator will be required to confirm the appropriate Guidelines were reviewed and considered through an attestation question.

Position postings provide an opportunity to inform and market your position to potential candidates. Ensuring the posting is inclusive and appeal to a broad audience is vital to attract and build a diverse applicant pool and workforce.

The academic selection committee should prepare a description of the position to be filled which includes the duties and a list of the education, experience, credentials, knowledge, skills and abilities required. A specific, accurate job description will focus the committee, giving it the opportunity to articulate its expectations early in the recruitment process, which subsequently provides guidelines for evaluations. A well-prepared description will also allow individuals to determine if they wish to apply for the position.

Hiring Foreign Academics

If a non-Canadian candidate is chosen and a Labour Market Impact Assessment (LMIA) is required, you must provide two (2) copies for each advertisement (one showing the first date the advertisement was posted and another one showing the last day the advertisement was posted).

To show proof of advertising, the Department is responsible for taking copies of all national advertisements (e.g., CAUT, University Affairs) including the posting on the UCalgary Careers site on the first date and on the last date of the posting.

To ensure the copies are date stamped, it is recommended you can save the advertisement by selecting the print/print as PDF option. Please ensure the entire advertisement is included in the PDF copy. Here is an example.

Position Posting Considerations

  • Review Academic Position Posting Guidelines prior to drafting the posting.
  • Have the selection committee, a faculty EDI lead, and key members participate in the review of the position posting.
  • Advertising for multiple ranks (i.e. Assistant and Associate level) is permitted however, it is important to clearly define the criteria for each rank in the advertisement. Doing this will avoid complications if considering a non-Canadian hire. Note that combination of all three ranks (Assistant, Associate, and full Professor) is not recommended.
  • Advertising a position for appointment within either the Teaching focused stream or the Teaching and Research stream are not recommended within the same posting.  
  • Limit requirements to those necessary for successful in the role. Reminder: requirements listed preferences or assets can not be used as a rationale for selecting non-Canadian candidates over Canadian candidates who meet the minimum advertised criteria.
  • Requirements/qualifications should be broadly defined to elicit a wide response from qualified applicants. Establish clear selection criteria, keeping the university's commitment to diversity and excellence in mind.
  • Use education and experience equivalencies to provide alternative options for potential candidate to meet the qualifications.
  • Highlight the value of the position and impact to the department and University.
  • Use inclusive language that is appealing to a broad audience and less technical.
